Executive Director
Position Summary
The Executive Director is the Chief Executive Officer and Chief of Operations, of the EnergyXchange. The Director is to implement the strategic goals, identify and pursue funding opportunities, be fiscally responsible, and achieve the objectives of the EnergyXchange. The Director provides leadership and implements action toward the achievement of the organization’s Vision, Mission Statement, and Values. The Director reports to the Board, ensures that the Board is kept fully informed on the condition of the organization and all-important factors influencing it, and as an acting Chairperson on the Board the Director enables the Board to fulfill its governance functions for the organization. This position requires a well-rounded individual that shares the vision and goals of the organization and can apply financial, managerial, technical, and outreach skills to fulfill the responsibilities of this position. Adaptability, analysis, attention to detail, collaboration, creativity, personal impact, dependability, safety awareness, organizational sensitivity, and a sense of teamwork are characteristics central to this position.
Primary Responsibilities
Programming
- Publicizes the activities of the organization, its programs and goals.
- Supports the programming of the studio spaces by advertising openings and sitting on the craft committees that support the residency program
- Maintains and develops the Visitors Center by setting up tours, brochures, presentations, and assists with the ongoing development and update of the Web page.
- Periodically represents the EnergyXchange at local and national conferences and events.
- Provides Educational tours to schools, hands on activities, and environmental education to many different groups.
Financial Development
- Works individually and with the Finance Committee to indentify grant funding opportunities
- Provides leadership and takes initiative in the development of grant applications
- Takes advantage of Board member expertise to provide assistance with the development of grant applications
- Creates and implements fund-raising activities
- Works with the Board and residents to identify new opportunities for EnergyXchange
Facilities Management
- Insures that all equipment is in good working order in the studios and greenhouses throughout the year by working with maintenance staff, residents, and staff members.
- Maintains computers, orders office supplies, organizes files and legal documents, and coordinates with the bookkeeper on check writing, deposits earnings, and maintenance of insurance policies.
- Is responsible for the recruitment, employment, and release of all personnel, paid staff, volunteers, and residents.
- Supervises staff members and resident artists.
- Ensures that job descriptions are developed, regular performance evaluations are held, and that sound human resources practices are in place.
- Maintains a climate which attracts, keeps, and motivates a diverse staff of top quality people.
Budgeting/Ordering/Accounting
- Is responsible for budgeting and working with the bookkeeper to maintain sound financial practices.
- Works with the Finance committee and the bookkeeper to ensure that adequate funds are available to permit the organization to carry out its work.
- Works with the staff, residents, and Finance committee, to prepare the budget annually for the areas of studio and greenhouse needs such as: equipment purchases, maintenance, equipment maintenance and studio or greenhouse improvements.
- Follows established procedures for requesting purchase authorizations, placing orders for materials and supplies, equipment or repair.
- Insures that all orders are placed and received.
- Discusses requests for facility improvements with the board. Provides cost estimates, if requested, in a timely manner for the annual budget process.
- The Director and the Board will prioritize requested facility improvements.
- Monitors his or her own progress in remaining within budget. Works cooperatively with the Board when adjustments to the budget are necessary.
Safety
- Works with maintenance staff, residents, and staff members to create studio and greenhouse safety system protocol, including equipment and material handling.
- Reviews all safety issues with staff and residents including labeling, handling & disposal of hazardous materials, equipment instructions & warnings, appropriate procedures for their studios or greenhouses.
- Provides emergency on-call services to ensure safe handling and use of equipment.
Communication
- Attends regularly scheduled meetings, provides clear and timely information to all other staff as necessary for issues and concerns involving them.
- Serves as an advocate with the community to seek input, to keep them informed of relevant activities, improvements, etc., and to involve them in some meaningful and productive way.
- Establishes sound working relationships and cooperative arrangements with community groups and organizations.
- Represents the organization to agencies and the general public.
Physical Requirements
While performing the duties of this job, the employee is regularly required to sit and to work at a computer. The employee is frequently required to use hands to handle or touch objects, tools or controls and to talk fluently and to hear. The employee is frequently required to stand, to walk on unlevel terrain, and to bend and to handle hazardous materials. The employee must regularly lift and/or move objects weighing up to 50 pounds or more. Specific vision required by this job includes close vision.
